End-to-End Sales Proposal Automation — From Lead to Approved Proposal with Full Audit Trail

The client's sales team was managing proposal requests across email threads, spreadsheets, and SharePoint folders with no unified tracking. Approval chains were handled manually over email, creating delays, version confusion, and zero visibility for leadership.

Different roles across the organisation — sales, technical pre-sales, finance, and management — had no structured way to collaborate on a proposal request. Revision cycles were uncontrolled, and there was no audit trail when disputes arose.

The team was also running Jira for project management but it was entirely disconnected from the sales process, forcing double-entry and making pipeline reporting unreliable.

We built a custom web application on Microsoft Azure, integrating SharePoint as the document layer, a cloud SQL database as the operational backbone, and Microsoft Entra ID (formerly Azure AD) for enterprise-grade single sign-on and user authentication.

The platform automates the entire proposal workflow: a lead request is logged, routed to the relevant stakeholders for approval, and upon sign-off, the proposal generation process is triggered automatically — with the live dashboard updating in real time at each stage.

Role-based access control ensures sales reps, approvers, technical reviewers, and administrators each see only what is relevant to their role. Revision and edit requests are tracked through a structured workflow, eliminating back-and-forth email chains.

The application integrates directly with Jira via the Jira REST API, automatically creating and updating tickets as proposal status changes — keeping the project management layer in sync without any manual intervention.

Security was built to ISO 27001 alignment and GDPR compliance standards, with application-level firewall protection, load balancing for resilience, and layered defences against common cyber attack vectors. All data at rest and in transit is encrypted.
